Workflow steps and actions

Your workflow consists of workflow steps. You can think of a workflow step as synonymous with a step in your process. 

 

We provide a variety of workflow step types for maximum flexibility and efficiency. 

  • Text: A rich text step that provides endless flexibility on the type of information you can provide. 
    • Great for: explaining a concept, sharing information
    • Example use case: Sharing company policies or principles
    • Assignee action: Mark as read
  • To-dos: a list of tasks/to-dos the user must check-off to mark as complete.
    • Great for: checklists, to-do’s, easy-to-forget requirements
    • Example use case: organization equipment checklist
    • Assignee action: User must check off each item in to-do list to complete step
  • Form: Similar to other forms, the workflow creator can request specific information, and the assignee answers with that information.
    • Great for: information collection, surveys
    • Example use case: meal preferences for a organization event
    • Assignee action: depends on field requirements (optional, required), but if required user must input requested information.
    • Special note: All information the user provides in a form can be later used as a parameter in later steps.
  • Embed: Add videos and rich media.
    • Great for: sharing informational videos
    • Example user case: Organization training videos
    • Assignee action: Mark step complete
  • Email: Trigger an automated email to specific people.
    • Great for: Sending a pre-populated email from the assignee directly from the workflow.
    • Example use case: Emailing manager for time off
    • Assignee action: Send email
  • Approval: Request sign-off from a specific person in Qatalog. The approver will receive a Qatalog notification requesting their approval.
    • Great for: actions requiring third-party approval
    • Example use cases: Budget approval, project sign-off
    • Assignee action: Request approval
  • Slack: Create a Slack channel or post a message to a Slack channel.
    • Great for: Sending a note to a specific team directly from the workflow.
    • Example use case: Alerting team you’ll be going OOO.
    • Assignee action: Send message (post a message to Slack channel), or Create channel (creating a Slack channel).
  • Asana: Create a task in an Asana project.
    • Great for: Adding a task to an Asana project.
    • Example use case: Submitting a feature idea on an Asana roadmap.
    • Assignee action: Create task
  • Trello: Create a card in a list within a Trello board.
    • Great for: Creating a card within Trello directly from Qatalog.
    • Example use case: Adding a suggested event location to an event planning Trello board. 
    • Assignee action: Create task
  • Jira: Create an issue in a Jira project.
    • Great for: adding an issue to a JIRA project directly from Qatalog.
    • Example use case: Reporting a bug on a bug burndown JIRA project.
    • Assignee action: Create issue.
  • Box: Upload a file to Box, or create a new folder in Box.
    • Great for: Uploading a file to Box, creating a folder in Box
    • Example user case: Uploading a receipt
    • Assignee action: Upload file, Create Folder
  • Dropbox: Upload a file to Dropbox, or create a file in Dropbox.
    • Great for: Uploading a file to Dropbox, creating a folder in Dropbox
    • Example user case: Uploading a receipt
    • Assignee action: Upload file, Create Folder
  • Google Drive: Upload a file to Google Drive, or create a file in Google Drive.
    • Great for: Uploading a file to Google Drive, creating a folder in Google Drive
    • Example user case: Uploading a receipt
    • Assignee action: Upload file, Create Folder
